01Convert your first file

Choose a tool, add compatible files, adjust the output settings and select the action button. Download each result, or use a ZIP when the tool offers one.

Browser tools process locally and do not need an account. Server tools require sign-in and use a free trial or server credits. Each tool explains where processing happens before you start.

02Image quality, output size and PNG

For JPG and WebP, lowering quality usually makes the file smaller. OrbitFile encodes a preview with your current settings to show its output size. Wait for it to finish after changing settings.

PNG is lossless: the browser's PNG encoder does not use the quality slider. Use JPG or WebP for smaller photos, or resize the image. JPG cannot keep transparency. Converting a compressed JPG to PNG can make it much larger without restoring lost detail.

The image compression tool can target a maximum filesize. Some targets need smaller dimensions; review the output before using it. Animated image inputs export a still frame.

03File formats and size limits
  • Most inputs: up to 25 MB each. Browser batches: up to 30 files and 150 MB combined.
  • Images: up to 32 megapixels. Common local formats include JPG, PNG and WebP; HEIC conversion uses the server.
  • PDFs: up to 1,000 pages. Encrypted PDFs and OCR are not supported. Lossless compression may leave already optimised files unchanged.
  • Office conversion: DOCX, XLSX and PPTX to PDF. Macros and linked external data are rejected; check your final layout and fonts.
  • Uploaded video: up to 25 MB; exports process up to the first 15 minutes. Audio tools work with supported browser formats and export WAV, up to 10 minutes.
  • Save browser results up to 95 MB each. Server results can be saved directly up to 150 MB. Larger results can still be downloaded when the tool supports them.

04Free tools, Personal Pro and Work

Browser tools are free with no operation allowance. A free account includes five lifetime trials of each server tool, three saved presets and 250 MB of saved files kept for 24 hours.

05How server credits work

HEIC conversion and PDF compression cost one credit per file. Office-to-PDF costs two. Uploaded video conversion and YouTube downloads cost five.

Credits are reserved when a job starts. Failed or cancelled jobs are refunded. Paid allowances refresh each monthly credit period and do not roll over. Your account shows your remaining allowance and next refresh date. Annual plans receive monthly allowances, rather than a full year's credits at once.

Local browser operations and downloading an existing result do not use server credits.

06Change plans, cancel renewal or view invoices

Sign in, open My account → Plan & billing → Billing settings & invoices. Stripe's secure portal lets you update payment details, view invoices, change plans and cancel renewal.

Cancelling renewal keeps access until the end of the paid period. Downgrades and switches to a shorter billing interval are scheduled at period end. An immediate upgrade can create a prorated charge, shown by Stripe before confirmation.

After payment, allow a moment for Stripe's confirmation to reach OrbitFile, then refresh My account. Returning to the website alone does not grant paid access. If payment failed, check Billing settings or contact support before starting another subscription.

For a billing error or refund request, email [email protected] with the account email and invoice reference. Do not send card details.

07Save files, free up space and understand retention

Saving is optional: choose Save to my files after processing. Nothing is saved to your account automatically. Open My account to sort, download or delete saved files.

Free saved files expire after 24 hours. Daily recovery backups may retain deleted file copies for up to seven days. Paid files stay while subscribed, within your storage allowance, until you delete them. If paid access ends, existing paid files have a 30-day download/delete grace period before removal; that library is read-only during the grace period.

Renewing before expiry protects files that have not expired. Expired or deleted files cannot be restored through the site. A downgrade does not immediately delete files, but you must free space before saving more if you exceed the new quota.

Temporary server conversion results expire after one hour. Download or save them in time. Keep your own copies of important originals.

08Sign in or recover your account

Use the email and password you registered with. Passwords must contain at least 12 characters.

When you create an account, save the private recovery code somewhere safe. Forgot password? currently uses that code to set a new password. Email reset links are not connected yet.

Resetting your password signs out old sessions and issues a new recovery code. Store the replacement code; the old one no longer works. Never send passwords or recovery codes through support chat.

09Privacy, teams and support chat

Browser tools process selected files on your device. Clearly marked server tools upload for processing. Saved files belong to your account and remain private even when you join a team.

A Work team shares presets. The owner's storage and server credits are not a shared allowance for all members. Team invitations are single-use and expire after 24 hours.

Support chat connects to tawk.to only when you open it. Workspace files are not attached automatically. Send an attachment only if you intend to share it with support. Video embed previews connect to YouTube when opened.

10A conversion failed or a download is missing

Check the tool's supported formats and limits, then try a smaller batch. A damaged file, unsupported codec, encrypted PDF or exhausted allowance can prevent processing. The error beside the workspace explains the next step when available.

Download local results before closing or reloading the page. Server results expire after one hour. For YouTube tools, use content you have permission to download; private, age-restricted, DRM-protected and live videos are unsupported, and provider restrictions can prevent a download.

If it still fails, contact support with the tool name, file type, approximate size and exact error. Avoid sending confidential file contents unless necessary.
